LeagueOwl is software that youth sports leagues use to run their seasons. This page says what we collect, who can see it, how long we keep it, and how to take it back or delete it. It is written to be read, not to be survived.

Who holds your information

LeagueOwl is a product of Lambert Digital Ventures LLC. When you register a child with a league, that league decides what to ask you and what to do with the answers; we run the software it happens in and store the data on the league’s behalf. Children do not have accounts

There is no login, no email address and no screen in this product for a child. Everything we hold about a child was given to us by their parent or guardian, and only a parent or guardian can see or change it. This is a rule in the code, not a policy we intend to follow: adding a child login would be a change to the database, not a setting.

What we collect

  • Your account. Your name, email address, and your phone number if you choose to give one. Your time zone, so reminders arrive at a sensible hour.
  • Your children. Name, date of birth, grade, and whatever else the league asks on its registration form — commonly a school and an emergency contact. Medical notes are optional and stored separately from the rest of the record.
  • Registrations and payments. What was registered for, what it cost, whether it is paid, and refunds. Card and bank details go to Stripe directly and never reach our servers; we store the amount, the status and Stripe’s reference.
  • Messages and notices. Announcements a league or coach sent you, and which of them we delivered. We keep whether a message was delivered, not what you did about it.
  • How to reach you. Your notification preferences, and a device token for each phone you install the app on so push notifications can find it.
  • Photos, if your league uses them. Photographs a coach posts to a team feed, and your consent decision for each child, each season.
  • An audit trail. Records of administrative actions — who accepted a registration, who refunded a payment, who deleted an account. Leagues handle other people’s children and money; a trail of who did what is part of doing that responsibly.

We do not sell any of it, we do not use it for advertising, and we do not use it to train anything.

Who can see it

  • You see your own family: your children, their registrations, what you paid, and the messages sent to you.
  • Your league’s administrators see the families registered in their league. They cannot see another league’s families, even if you are in both.
  • Your child’s coaches see that child’s roster entry and how to reach you. Two things are the league’s choice rather than ours: whether coaches can see guardian phone numbers, and whether they can see medical notes. Medical notes are hidden from coaches unless the league turns them on.
  • Other families see first names on a team roster and nothing else. Phone numbers and email addresses are never shown to other parents, and a message from a coach reaches each family separately rather than putting everyone on one thread.
  • Nobody else. There is no public profile, no public roster and no public schedule page that names a child. Team photos live in private storage and are served through links that expire; nothing is indexed by a search engine.

Photographs of children

If your league uses the team photo feed, consent is asked for each child and again every season — a decision made when a child was six should not silently follow them to eleven. Only the families and coaches of that team can ever see the photos.

We are honest about the limit of that control: we cannot tell who appears in a photograph. Declining consent means your child is never named and the coach is warned; it does not guarantee a face never appears in a group shot. You can ask for any post to be removed, at any time, without giving a reason, and the request reaches the league.

Text messages and email

We text you only if you gave us a number and verified it, and only about your league — schedule changes, reminders, and messages from your league or coach. There is no marketing. Reply STOP to any message to stop them, or HELP for help; message and data rates may apply. Every email we send carries a link to your notification settings, where you can turn any category off.

Who else touches your data

These are the services we use to run the product. Each one sees only what it needs to do its job.

Supabase
Database, file storage and sign-in. Hosted in the United States.
Stripe
Card and bank payments. Card numbers go to Stripe directly and never reach us.
Twilio
Text messages, and the code that verifies a phone number.
Resend
Email.
Expo, Apple and Google
Push notifications to a phone that has the app installed.
Vercel
Hosting for the website.
Sentry
Crash and error reports, which can include a user id.

How long we keep it

  • Your account and your children’s records: as long as your family is registered with a league, until you delete your account.
  • Notices in your inbox: about a year, then removed automatically.
  • Device tokens for phones that no longer accept notifications: removed automatically.
  • Team photos: until twelve months after the end of the season they belong to, and never less than twelve months from the day they were posted — so a team’s album ends when the season does rather than emptying from the front. The post and the image file are both deleted, not hidden. Before then, a photo comes down whenever whoever posted it, the league, or a takedown request says so, and deleting your account removes the posts and reactions you wrote.
  • Payment records: kept as long as financial recordkeeping requires, without your name attached once you delete your account.

Taking your data with you, and deleting it

Both are in the app and on the web, under Account — no email to support, no waiting. The export is a single file containing your profile, your children and their registrations, what you paid, your preferences and your inbox.

Deleting removes your name, email address and phone number, your notification settings and device tokens, your calendar links, and any posts and reactions you wrote. Children only you are responsible for are deleted with their registrations and medical notes — unless a season is still running around them, in which case their record is emptied of everything personal and left with the league for the rest of that season. Payment records remain without your name on them. After that you cannot sign in again.

One thing stops a deletion: being the only owner of a league. Making somebody else an owner first is the fix — otherwise families are left registered in a league nobody can administer. How to delete your account explains the whole thing.

Changes

If we change what we collect or who can see it, we will change this page and update the date at the top. Anything that materially changes what happens to your family’s information will also reach you in the product.
